RESPONSABILITIES
Strategic Support & Coordination
➢ Provide high-level administrative and operational support to the Managing
Director in a fast-paced, sports-driven environment.
➢ Collaborate with heads of departments (Sports, Guest Experience, Marketing,
Finance) to align day-to-day priorities with the resort’s long-term strategic goals.
➢ Track KPIs and project milestones, providing regular updates on progress,
challenges, and solutions.
Calendar & Time Management
➢ Schedule and coordinate a diverse range of appointments, meetings, and travel
itineraries for the Managing Director.
➢ Anticipate and resolve scheduling conflicts, ensuring optimal use of time during
peak sports seasons, special events, and tournaments.
➢ Prepare detailed agendas aligned with both operational needs and strategic
initiatives.
Communication & Stakeholder Engagement
➢ Serve as the key liaison between the Managing Director and internal/external
stakeholders, including sports teams, sponsors, and local authorities.
➢ Handle incoming communications—emails, calls, correspondence—and draft
responses on behalf of the Managing Director.
➢ Create and edit professional reports, presentations, and proposals, ensuring
consistent branding and messaging.
Meeting Management & Documentation
➢ Record comprehensive minutes of high-level meetings, capturing critical
discussions, decisions, and action items.
➢ Verify information with relevant department heads (e.g., sports coordinators,
facilities managers) to ensure accuracy.
➢ Follow up on action items and commitments, monitoring deadlines to maintain
accountability.
Project & Event Coordination
➢ Coordinate cross-functional projects—including resort-wide sporting events,
marketing campaigns, and VIP guest experiences—to ensure timely delivery and
budget adherence.
➢ Manage logistical details for large-scale tournaments, liaising with sponsors,
media teams, and sports officials.
➢ Organize internal and external events, overseeing budgets, vendor relations, and
quality standards.
Travel & Logistics Management
➢ Arrange complex travel plans for the Managing Director, sports teams, and
visiting delegates, optimizing schedules and controlling costs.
➢ Prepare detailed travel documents and ensure all logistical requirements—such as
visas and insurance—are met.
Data Analysis & Reporting
➢ Conduct research and gather data on industry trends, competitor benchmarks,
and new opportunities for the resort.
➢ Prepare executive summaries and insightful reports that assist in strategic
decision-making.
Administrative Excellence & Confidentiality
➢ Organize and maintain files, records, and confidential documents with utmost
discretion.
➢ Uphold the highest standards of confidentiality when handling sensitive
information pertaining to resort operations, sponsorship deals, or personnel
matters.
➢ Continuously improve administrative processes to drive efficiency and
effectiveness across the organization.
